Job Details:

MSK’s Operation Excellence team is seeking a S r. Administrative Assistant to support both the Directors of Process Engineering and Project Management. The Sr. Administrative Assistant will be based out of the Chrysler Building at 405 Lexington Avenue, yet partner across various NYC/Regional locations on administrative tasks and projects.

The goal of the Operation Excellence team is to bring an ideal end-to-end experience to every patient and family, every time, through a culture of innovation, collaboration, and continuous improvement. This key hire will be a first contact face for our internal partners. Process Engineering improves outcomes without increasing complexity, eliminates bottlenecks and inefficiencies, and conserves human and mechanical energy. Project Management manages and supports a portfolio of projects across the institution that link to MSK’s strategic objectives.

You Will:

  • Provide executive-level administration support for both the Director of Process Engineering and Director of Project Management

  • Answering and triaging calls; managing complex calendars for Directors and team members; scheduling meetings and phones calls; managing data and creating documents; hosting and overseeing recruitment candidates and visitors; on-boarding new employees

  • Compile departmental data and statistics while ensuring accuracy; organizing agendas and completing minutes for several meetings

  • Assisting with Workday requests and organizing/maintaining shared drives/SharePoints for both Process Engineering and Project Management teams

  • Planning and preparing for large-scale events; handling logistics: ordering food services, finding appropriate meeting spaces and set up based on meeting requirements, knowledge of accommodations, and structure of rooms to provide viable setup or alternatives; discusses audiovisual equipment needed with the requester, and Conference Planning and orders as necessary.

  • Proofread all documents before submission to Administrators; ensures proper use of terminology, spelling, grammar, and consistency of information; uses appropriate reference materials to verify accuracy where written material is unclear; contacts appropriate staff member directly for clarification.

  • Ensure confidentiality of sensitive documents and information as per department and institution guidelines

  • Order supplies and complete facilities requests; oversee maintenance needs

  • Submitting timesheets for both Directors and tracking timesheets for all team members

  • You will work collaboratively with the Project Coordinator to meet shared objectives and goals including supporting departmental budgeting, other department reports/documents, and other duties as assigned.

You Need:

  • Bachelors degree preferred in healthcare plus 2-4 years of experience

  • Advanced Microsoft Office software skills (Word, Excel, PowerPoint, Outlook)

  • Experience with MS Project (or ability to learn)

  • Exceptional organization and communication skills

  • Ability to prioritize/multi-task, work independently and handle stressful situations and deadlines.

  • Operating autonomously, with discretion, in a fast-paced and ever-changing environment
