The Computational Oncology Service, part of the Department of Epidemiology and Biostatistics (Epi-Bio) at MSK, is now entering its fourth year as an academic home for investigators focused on clinical-translational genomics research. Service faculty continue to expand their laboratories and research programs to meet institutional needs for collaborative science at the interface of oncology, computational biology, genomics, and functional genetics. Science in the Service is synthesizing expertise in computational biology, cancer biology, and clinical oncology and is therefore closely aligned with the research activities of several translationally focused Centers at the institution, foremost among them the Marie-Josée and Henry R. Kravis Center for Molecular Oncology (CMO) and the Center for Hematological Malignancies.
The Epi-Bio administrative team partners with the new Computational Oncology (Comp Onc) Chief of Service and faculty members to provide operational, financial and administrative support to facilitate the effective functioning of their research and academic efforts.
As the Administrative Program Assistant, you will:
Provide administrative and operational support to the Comp Onc leadership team (Service Chief, Administrator, Lab Manager) as well as supplemental support for the other Administrative Assistants and their respective faculty across the department.
Maintain departmental organizational charts and contact list.
Serve as a liaison between Department (Chair and Administrator) and Service Chief and Service; prioritize and respond to their inquiries/requests as appropriate.
Provide grant submission support and maintain grant-related documents for Service Chief and other members of the Service; light editing needed.
Manage expense forms workflows, process documents and monitor expenses for the service; submit payroll.
Coordinate the recruitment, appointment and reappointment for all trainees across the department.
Plan trips and organize meetings and seminar series; manage Service Chief calendar.
At times, may assume primary administrative coverage for a faculty member and their lab; may order lab supplies or maintain inventory.
Manage office and pantry supply inventory; may need to order lab supplies.
In collaboration with the Service Chief and Administrator, create and post advertisements for the new faculty positions in the lab, coordinating recruitment process and strategy, scheduling interviews, creating agendas, etc.
Assist with onboarding and on-going training and mentorship to less experienced Administrative Assistants.
Assist with the development, planning and execution of various projects in support of departmental operations and laboratory initiatives to include capital equipment inventory management, Kemper and equipment repair for shared resources.
An excellent communicator who can leverage interpersonal skills to partner and work with the full range of clients and stakeholders and function effectively in diverse settings (e.g., over the phone, in-person, in meetings or in giving presentations).
Flexible, detail oriented and able to prioritize a diverse and fluctuating workload.
Committed, hard-working, and a selfless team-player.
Four years of financial or healthcare experience preferred
Demonstrated project management capabilities with the desire and ability to learn and develop additional project management skills
Ability to work in a fast-paced, team-centered environment exercising judgment and discretion with limited immediate oversight
