We Are:

The Office of the Corporate Secretary assists in the planning and execution of board meetings and board member engagement. We are looking for an Administrative Assistant to provide support to the Deputy General Counsel & Corporate Secretary and her team. Under supervision, the Administrative Assistant will interact with the offices of board members, complete assigned tasks within projected timelines, schedule meetings, screen telephone calls, maintain department files and assist in the overall workflow within the Department.

You Will:

  • Perform various administrative activities to maintain the smooth operation of the office.

  • Process time sheets for department and input time and attendance into payroll system.

  • Prepare purchase orders, check requests and reimbursements as needed; ensure proper documentation is attached and all calculations are correct.

  • Manage Deputy General Counsel & Corporate Secretary’s calendar, schedule meetings, screen phone calls, and assist with departmental meetings as needed.

  • Assist with the preparation and setup of board meetings and chairman’s luncheons.

  • Submit catering requests, reserve conference rooms, determine AV needs for meetings, and confirm logistics prior to each meeting.

  • Transcribe and draft minutes of quarterly board meetings; print and file minutes of all board meetings.

  • Maintain inventory of iPads for use at board meetings; sync and charge iPads prior to each meeting.

  • Greet board members and MSK senior staff at meetings, and provide assistance when needed.

  • Interact with offices of board members by email and telephone to confirm meeting attendance, schedule meetings, and assist with inquiries.

  • Maintain current board member bios and post bios to board site.

  • Assist team with special projects as needed.

You Have:

  • Bachelor’s degree preferred

  • Excellent Microsoft Office software skills (Word, Excel, PowerPoint, Outlook)

  • Exceptional organization and communication skills.

  • Ability to prioritize/multi-task, work independently and handle stressful situations and deadlines.
