Under general supervision, theAdministrative Assistantprovides a wide range of administrative support to a department leader, clinical leader, and/or group of professionals. Major responsibilities include but are not limited to ordering office supplies and equipment, handling expenses and paperwork, document preparation, scheduling, assisting with visitors, and participating in departmental projects. In addition, the Administrative Assistant is responsible for resolving basic problems and questions that relate to the department or division and identifying a course of action for the complex ones. The Administrative Assistant is responsible for ensuring that all administrative tasks are completed in a manner that ensures the efficient operation of the department

Perform administrative activities to maintain the smooth operation of the office.
Resolve both routine and complex inquiries and fulfill requests using in-depth knowledge of department and organization policies and procedures
Screen telephone calls and provide assistance to visitors
Establish and maintain confidential files, logs and records Identify appropriate vehicle for providing access to department information. Ensure content is up-to-date.
Schedule appointments, meetings, and conferences as requested
Manage Complex calendars of department leader and department staff, using independent judgment based on knowledge of priorities and resources
Prepare/produce documents including memos, reports, presentations, and manuals as requested
Proofread all documents; ensure proper use of terminology, spelling, grammar, and consistency of information
Input and update data into spreadsheets and databases for assigned reports and databases (e.g., HR paperwork tracking, purchase order tracking, capital purchase tracking)
Assist with designing tools for data collection (e.g., tracking logs, scheduling systems) using appropriate office software
Prepare reports including summaries and monthly analysis as specified by manager
Manage the acquisition and distribution of office supplies for department.
Initiate check requests, purchase requisitions, work orders, and other forms for approval
Assist with department’s/division’s projects/events as requested. These projects are typically completed in a short time frame and have established practices on how to complete
Bachelors degree preferred plus one year of experience
Proficiency in Microsoft Office#LI-POST
