Job Details:

The Health Informatics Administration at MSK is seeking an Assistant Systems Analyst to join their team. Under the direction of the Administrative Coordinator for Health Informatics this role assists in calendar management of three executives as well as coordinating various aspects of the Division of Health Informatics projects. The position is heavy on calendar management (keen sense of creating fluid schedules) as well as initiating, supporting and conducting analysis of issues, presenting recommendations, disseminating information and managing projects and project timelines. The individual in this role will need to respond to inquiries and act as liaison to internal contacts. Maintains thorough knowledge of each meeting series and notifies relevant personnel of changes. Provides administrative support to the Vice President, Chief Health Information Office, and Assistant Chief of Health Informatics. This role also entails the creation of purchase orders, check requests, travel reimbursements, conference service planning, and event planning.

You Need :

  • Bachelor’s Degree- Preferably in Sciences, Liberal Arts, or Health Administration.

  • 1-3 years Healthcare Administration Experience Required (i.e. using clinical systems is preferred)

  • 1 year Project Management Experience Preferred.

  • It is imperative that the incumbent knows how to manage/schedule meetings utilizing different calendars via Microsoft Outlook and WebEx.

  • Familiarity with electronic databases, data analytical software (Excel, Word, PowerPoint, Microsoft Project) preferred.

  • Strong communication skills required.

You Will:

  • Provides Calendar Management support to three executives (VP, CHIO, and Asst. CHIO), as needed or as directed by them. Also prepares and organizes meeting materials, files or associated documents when needed.

  • Assists with project plans defining deliverables and resources required for successful and seamless execution. Manages tasks to achieve established goals, and escalating issues/concerns to the Administrative Coordinator. Adapts to changing demands and proactively anticipates implications of changes to the plan and meeting deliverables.

  • Provides additional project support to the Administrative Coordinator as needed.

  • Processes Check/Petty Cash/Travel reimbursement requests for the entire division of Health Informatics given to him/her by the Administrative Coordinator.

  • Schedules conference rooms and catering when requested for certain meetings while also providing access to outside visitors using our buildings security system.

  • Attends meetings requested by the Administrative Coordinator and prepares meeting minutes on a rare occurrence. .

  • Prepares and orders the monthly Supply Order for the Division.

  • Performs special assignments and various administrative duties to meet management and departmental needs. Assists executives and admin coordinator with special projects as requested.
